Library.Solution Cataloging : Using OCLC CatExpress
SUMMARY
Library.Solution cataloging currently uses a Z39.50 interface to access OCLC WorldCat, in addition to other databases. Matching records can be edited, holdings added, and the records saved to the Local bibliographic database. However, the searching strategies with the Z39.50 interface are limited, so that catalogers may need to also utilize OCLC CatExpress for advanced searching features. Matching records are downloaded from CatExpress, exported to the cataloger's workstation, and then uploaded into the Local database using the LS Cataloging Utility Batch Load Bibliographic Records. When the upload is complete, catalogers go back to LS Cataloging, retrieve the record, and add their holdings to the records.
At the present time, deleting holdings in OCLC can only be accomplished by using CatExpress. Each cataloger is responsible for this task as they withdraw items from their library's collections and find they need to delete the entire MARC record. See separate documentation for this procedure.
Using OCLC CatExpress to Add Holdings
A. Open Internet Explorer or another web browser. Turn off any pop-up blockers. You may need to make changes to your browser's configuration to allow for downloads. See CatExpress FAQ, or your IT staff for more help.
B. Go to http://connexion.oclc.org Login using our group authorization id and password.
C. Navigate using the buttons and links CatExpress provides, below the toolbar. DO NOT navigate using the toolbar buttons.
D. Basic or Advanced Search is available.
E. In the result list, look for the Cooperative's code, AL5CW, on hit that matches item. If it appears, then there should be a record already in the Library.Solution local database. If it can't be found, click on title to open record. Verify that this bibliographic record matches the item.
F. To export a copy of the record to download into Library.Solution, click on Save to catalog. The first time this is done in each session an error message will appear in red. Click on Fix errors, then look for the drop-down list next to the labels Type field (right side of screen, below the Save to Catalog button). Select one of the label types, then click again on Save to Catalog. This label type has only to be selected once at the beginning of each session.
G. To search for another title, select Basic or Advanced search. Clicking on the Search link will, by default, return to the Basic search screen.
H. Before logging off, click on Other Options, then click on Download Export Files.
I. Select the file you wish to download, usually the name at the top of the list, then click download.
J. When pop-up windows opens, select Save, and save to a file named export with file type .raw in this folder on your workstation

or anywhere else on the hard drive as long as you keep track of the location. Overwrite the file if necessary.
K. Logoff CatExpress.
L. Proceed to LS Cataloging Utilities to batch load exported/downloaded records into Local database.
Batch Load Export files from OCLC into Library.Solution
A. Open Library.Solution Cataloging Utilities.
B. Click on File.
C. Click on Batch load bibliographic records.
D. Enter password.
E. Check the source file field, and make sure it’s pointing to the location where you saved the downloaded export file from CatExpress. The default should be pointing to a file named c:\programfiles\thelibrarycorporation\librarysolution\cat\export.raw but you can change it to match wherever you saved the file during the download process.
F. Remember to always select PROTECT EXISTING RECORDS... This is the default.
G. Make sure that these items are selected or have checkmarks in their buttons:
Do NOT create authority records for invalid headings
Update existing authority records
Protect existing records
Always update 005 field
H. Click OK.
I. When job complete, record(s) should be available in the Local database.
J. Authority control and heading verification utilities occur automatically, once a week (Saturday evening and Sunday). Until these jobs run, you may not be able to search in the PAC by some of the subject headings in the records you downloaded. BCLC staff monitor the logs from these utilities, and take appropriate action to add or edit authority records when necessary.
