COOPERATIVE POLICIES
All catalogers have agreed to follow these policies, for a more consistent database.
Format – BOOK
Combine fiction paperback and regular print onto one record, regardless of copyright date and LCCN and/or ISBN. Add additional 020 tags, and/or publisher subfields to the 260 tag if deemed necessary.
Use a separate record if particular copy is illustrated or contains information that needs additional access or headings.
Microfiche and microfilm items utilize the book format (leader = nam), but does have $h[microform] added to the 245, following AACR2r rules. A 5xx tag can be added to the record to indicate whether a microfiche or microfilm reader is required.
Format – SERIES
Optional. If additional access to a series number is desired, add subfield n to the 245. Records should still contain the 440 or 490 and 800 or 830 tags. Follow standard rules for subfield n (punctuation, placement) and include the word book instead of volume before the number . REMEMBER the period precedes $n.

Format – LARGE PRINT
Separate records for differing publishers of large print books.
Add to 245, immediately following subfield a, in brackets: [large print]

AACR2r rules state that the 300 tag includes (large print) following the paging.

Don’t use a 100 tag for the author of the work being critiqued. Use 600 tag and/or 700 tag instead.
Use the 100 tag for the author or editor of the Cliffs notes, if access is desired.
Format – SOUND RECORDINGS
Separate records for abridged and unabridged sound recordings.
Add, in brackets, abridged or unabridged between subfield a and subfield h.

If reader (or performer) and time are identical, can combine onto one record even if different publishers. Add publisher subfields to the 260 tag as necessary.
Format – VIDEO
Can combine holdings on videorecording records, as long as cast and copyright are identical. Add publisher subfields to the 260 tag as necessary. Additional 300 tags are acceptable. Add 5xx tag if special features are included.
Can combine widescreen and full screen editions on the same record. Add 5xx tag if desired.
If particular copy is a digitally remastered edition, or a “director’s cut”, but has the same cast and approximate running time, it can be added to the existing record. Add another 300 tag if necessary, and a 500 tag to indicate which library owns this remastered edition, and whatever material has been added to the previously published video.
Catalogers can also choose to make a separate record for a digitally remastered edition, or if the video has other characteristics requiring changes to the 260 or 300, extensive notes and/or headings for access.
Optional. If desired, can use separate records for each part of a video set, to allow for access to headings and notes, as long as videos are packaged for circulation separately also. [In other words, if videos are bundled into one album, with one barcode label, then only one MARC record is used for all parts.]
Format – DVD
Can add DVD holdings to the videorecording record, as long as cast and copyright are identical. Add another 300 tag with the DVD physical description. Add publisher subfields to the 260 tag as necessary.
But -- catalogers should be sensitive to the needs of their borrowers; some may not own a DVD player. Separate record for a DVD, even if a bibliographic record for a video format of the same title and cast, etc, might be more appropriate.
Format – E-BOOKS
Barcodes and/or 949 tags are normally not added to the MARC records of downloadable books. To prevent the record from being deleted when the monthly delete-titles-with-no-items utility is run, catalogers need to make a change in the leader.
Change the leader from nim to nmm, cim to cmm. The m in the second position visible to the cataloger (although technically position 6) will prevent the delete utility from removing the record. Electronic resources normally do not contain holdings tags, so the utility ignores them.
