LIBRARY.SOLUTION CATALOGING --
DELETING ITEMS &/or DELETING RECORDS
PURPOSE
If an item is lost, missing or damaged, or if it
is being weeded from the library's collection for other reasons, it needs to be
removed from our Local database. This is accomplished by removing the matching
949 tag or removing the entire MARC record if there are no other holdings. When the entire MARC record
is deleted, then the holdings also have to be removed from OCLC's WorldCat.
DELETE ITEM THROUGH CIRCULATION
An item can be deleted through LS Circulation, although the holdings 949 tag will still remain on the
MARC record in our LOCAL database.
DELETE ITEM THROUGH LS CATALOGING
- Open LS Cataloging program.
- Search for the item.
- Locate the correct record with the correct 949 tag that matches the item you need to remove.
- Is the 949 tag the only one present in the record? If YES, go to Delete Record below.
- If NO, click on the correct 949 tag.
- Choose any of the following methods for deleting ONLY the relevant 949 tag:
hold the < ctrl> key down, and then hit the < d >
key or right click on the correct 949 tag and choose delete field
or click on Edit, then click on delete field.
- Click on the red Save toolbar button to save the record.
DELETE MARC RECORD THROUGH LS CATALOGING
& DELETE HOLDING IN OCLC
- Open LS Cataloging program.
- Search for the item.
- Locate the correct record with the correct 949 tag that matches the item you need to remove.
- Is the 949 tag the only one present in the record? If NO, go to Delete Item above.
- If YES, the entire record can be removed or deleted.
- Click on trashcon icon on toolbar, or click on File, then Delete Record.
- Answer yes that you do want to delete the record.
- Records are automatically saved to a file and can be restored.

Delete Holdings from
OCLC
- Open a web browser and logon to OCLC's CatExpress.
- Search to locate matching item, and check that
our Cooperative's code "in AL5CW" appears in blue. If no holdings for
AL5CW are indicated, just go on to search for another item.
- After you locate the first record that
indicates AL5CW owns a copy, you will have to select a label type in order for
the delete holding function to work successfully for this record and for any
subsequent records in this session.
- Option 1. Click on
matching record in Result List to view bibliographic record. Click on
View Label. Look for the
drop-down list next to the labels Type field (right side of screen, below the
Save to Catalog button). Select one of the label types (pick Local 099), then click again on
Save to Catalog. This label type has only to be selected once at the
beginning of each session.
- Option 2. Click on the Delete holdings button. You
will be asked to confirm the delete (answer yes). You will receive an
error message in red. Click on Record Display, then View
Label. Look for the
drop-down list next to the labels Type field (right side of screen, below the
Save to Catalog button). Select one of the label types, then click again on
Save to Catalog. This label type has only to be selected once at the
beginning of each session.
- Your search screen should automatically
reappear after the save. Click OK to search again.
- Click on the Delete holdings button.
Answer yes to confirm the delete. A confirmation of the successful delete will
appear.
- Search again for another item.
- Click Delete holdings, and then confirm the
delete.
- Logoff CatExpress when done.
